Version: V2 — Harmonized pre-publication review draft Effective date: To be confirmed before publication
We want every Equippedly customer to receive the racket and customization they ordered. This policy explains cancellations, returns, refunds and how we deal with problems such as incorrect artwork, manufacturing defects or delivery damage. Our approach is clear: 100% refund before required final artwork/proof approval; after that approval, no voluntary change-of-mind returns or refunds on genuinely personalized rackets where law permits; and all applicable rights for faulty, incorrect or undelivered goods remain protected.
At present, this policy covers padel rackets only, including standard racket products, eligible personalized rackets and racket orders placed through our Business quotation process. It does not set terms for apparel or other products that are not currently offered for sale.
Nothing in this policy limits mandatory consumer rights under laws applicable to your purchase.
1. Who we are
Equippedly Ltd is the UK company responsible for the applicable online sale and customer relationship, subject to the seller identified in your order confirmation or accepted quotation.
Registered address: Office 1496 85 Dunstall Hill, Wolverhampton, United Kingdom, WV6 0SR Company number: 17362794 Customer support: info@equippedly.co.uk
Equippedly Pvt Ltd, Pakistan supports racket manufacturing and production activities. A manufacturing partner's involvement does not reduce your rights against the seller responsible for your order.
2. Our custom racket order process
For an order that requires customer artwork or a final production proof, the usual process is:
- You select a racket and submit your customization or artwork requirements.
- We review the submitted artwork and relevant specifications.
- We provide a digital production proof when required for the order.
- You review the proof and explicitly approve it, or request corrections.
- Manufacturing begins after the required approval and applicable payment conditions are satisfied.
We do not treat silence or lack of a response as approval. If the required proof has not been approved, the order remains on hold and we will not begin the artwork-dependent production process on our own initiative.
Corrections needed to bring a proof into line with the artwork and specifications already agreed for that order will not incur an extra charge. Materially new design requests or additions may be quoted separately before you agree to them.
3. Cancel before final artwork approval — full refund
If your racket order requires final artwork-proof or final production-specification approval, you may cancel it for any reason before giving that approval and receive a 100% refund of all amounts paid to Equippedly for that product order. This includes deposits, manufacturing prepayments, product-order artwork/design/setup charges, and any delivery charge already paid for that unshipped order. We will not deduct design-preparation costs, payment-processing charges or cancellation penalties from this pre-approval refund.
To cancel, contact info@equippedly.co.uk with your order number and a clear cancellation request. We will confirm the cancellation and initiate reimbursement without undue delay, normally within 14 days after receiving the request, or sooner if applicable law requires. Refunds will normally use the original payment method unless otherwise agreed.
This is an Equippedly customer policy in addition to any rights you have under applicable law. It also applies to Business racket orders that require final artwork approval, unless a more favourable statutory right applies.
For an order that does not involve final artwork approval, applicable contractual and statutory cancellation rules govern instead. We will not describe an order as requiring proof approval if it does not.
4. After artwork approval or production starts
Once you expressly approve the final artwork or production proof, the 100% pre-approval refund promise in Section 3 ends. For a racket genuinely made to your individual specifications or clearly personalized, Equippedly does not offer voluntary cancellations, exchanges, returns or refunds due solely to a change of mind after final approval, where applicable law permits. This applies even when manufacturing is scheduled but has not yet physically started.
If you contact us immediately after approval, and production has not yet begun, we may consider a voluntary change or cancellation as a goodwill exception, but there is no guaranteed entitlement to a voluntary refund. We will explain any proposed arrangement before proceeding.
A mandatory legal right always takes priority. This rule does not remove rights involving a faulty, damaged, incorrect or misdescribed product, non-delivery or other legally protected cancellation, nor does it automatically apply to a standard or non-personalized racket.
5. Personalized rackets and change-of-mind returns
A racket may be genuinely personalized when it is made to your individual requirements, such as a customer-supplied name, logo, graphic design or unique approved artwork that is applied specifically for your order.
Where applicable law provides an exception for goods made to a customer's specifications or clearly personalized, the ordinary post-delivery change-of-mind withdrawal right may not apply to that racket. For qualifying genuinely personalized rackets, we do not provide an additional voluntary post-approval change-of-mind return, exchange or refund, to the extent permitted by law.
Not every racket sold through a configurator is automatically exempt. Choosing an existing material option, standard product variant or an ordinary catalogue feature does not necessarily make the product legally personalized. We will assess the nature of the product and the applicable rules, and we will identify relevant restrictions before checkout where required.
An approved artwork proof concerns the appearance and agreed production instructions. Approval does not waive your right to receive a correctly manufactured, conforming and safe product.
6. Standard or non-personalized racket returns
Where the racket is not covered by a lawful personalization exception, consumers may have statutory withdrawal rights.
United Kingdom: For qualifying online consumer purchases, you generally have 14 days after receiving the goods to tell us you wish to cancel, followed by a further 14 days to send the goods back. We will provide the refund and delivery-cost treatment required by UK law.
European Union: For qualifying distance-sales purchases, consumers generally have a 14-day withdrawal right after receiving the goods, subject to applicable exceptions and national implementation. Consumers should tell us within that period and return the goods in accordance with applicable rules.
United Arab Emirates and Pakistan: There is no assumption that the UK's or EU's 14-day withdrawal regime applies to every order. Requests will be handled under the laws that apply to the particular transaction and any return rights explicitly offered when you purchase.
Where a statutory change-of-mind withdrawal right applies, please handle the racket only as necessary to inspect it, as you reasonably would in a shop. Deductions for diminished value will be made only where permitted by law.
7. Wrong, defective or damaged rackets
If your racket is faulty, arrives damaged, does not match the agreed product description or final approved production specification, or is otherwise not of the standard required by applicable law, please contact us.
Examples may include:
- A manufacturing defect in the frame, face, grip or other racket construction.
- Incorrect material or construction compared with the confirmed order.
- Incorrect logos, spelling, artwork placement or printing compared with the approved production proof.
- Significant unintended printing or finishing faults.
- A racket damaged during delivery.
- A wrong model or quantity delivered.
Depending on the circumstances and applicable law, the appropriate remedy may be a repair, replacement, price reduction or refund. Where we are responsible for a defect or non-conforming product, we will cover reasonable return or replacement shipping costs to the extent required by law.
A personalized product is not exempt from faulty-goods rights. Having used the racket does not, by itself, invalidate an otherwise legitimate defect claim.
8. Colours, artwork previews and manufacturing variation
3D previews and digital artwork proofs are designed to help you understand the expected product. Minor differences can arise from screen settings, lighting, printing processes and the physical properties of materials.
Such minor differences are not necessarily defects on their own. However, material differences from the agreed artwork, incorrect specifications, unacceptable production faults or other failures to meet applicable legal standards are not excused simply because the product was personalized or digitally previewed.
Normal wear from use, damage caused by misuse, avoidable impact damage or unauthorized alterations are not manufacturing defects in themselves. We will assess each report fairly and in accordance with applicable consumer law.
9. How to request a return, cancellation or refund
Email info@equippedly.co.uk and include, where available:
- Your order number or other proof of purchase.
- Your full name and preferred contact details.
- A short description of the cancellation request or problem.
- Clear photos of any visible defect, incorrect artwork or transit damage, if reasonably available.
- The date the parcel was delivered, if relevant.
Photos can help us resolve a problem more quickly, but we will not treat them as an absolute condition of your statutory rights.
We will review your request and provide the relevant next steps, including a suitable return address or shipping instructions if a physical return is needed. Do not assume our UK registered office is the returns warehouse. You may exercise any applicable statutory cancellation right by a clear statement sent within the relevant period, even if our team has not yet issued a return-reference number.
10. Return shipping and international orders
For a valid statutory change-of-mind return of a non-personalized item, the direct cost of return postage may be payable by the customer where permitted by law and clearly disclosed before purchase. We will explain the correct return destination and process.
For accepted claims involving faulty, incorrect or non-conforming products, we will arrange or reimburse reasonable necessary shipping costs as required by applicable law.
For cross-border orders, customs procedures or import charges may affect the physical return process. We will provide reasonable assistance with the paperwork under our control. Refund or reimbursement of duties, taxes and customs charges collected by authorities or third parties will depend on the applicable law and the party responsible for those charges.
If a parcel is lost or damaged before the risk legally passes to the consumer, we will provide the remedy required by applicable law. Different delivery-risk arrangements may apply to separately negotiated Business contracts.
11. Refund method and timing
Approved refunds will normally be made to the original payment method, unless you expressly agree otherwise or applicable law requires a different arrangement.
- Pre-approval cancellations under Section 3: 100% refund of amounts paid for the product order, including its deposit and included design/setup charges, without deductions; initiated without undue delay, normally within 14 days after the clear cancellation request, or sooner if required by law.
- Post-approval change of mind for genuinely personalized rackets: No voluntary refund, exchange or return where the law permits this restriction; legally required refunds and remedies are never excluded.
- Qualifying UK/EU statutory withdrawal: Refunds, including eligible standard outbound delivery costs, will be processed within the periods required by the applicable rules. Where legally permitted, reimbursement may await the returned goods or evidence of their return.
- Faulty or incorrect rackets: Refunds or other remedies will be provided in accordance with the relevant statutory rights and the agreed resolution.
Banks and payment providers may take additional time to display an issued refund. We will not impose an undisclosed refund administration fee where prohibited by applicable law.
12. Business and bulk manufacturing orders
Business customers may request quotations for clubs, brands, retailers and other organizations. A quotation request alone is not an accepted purchase contract.
The accepted quotation or written agreement may specify quantities, artwork approvals, sample requirements, production tolerances, payment schedules, shipping arrangements and commercial remedies.
Where a Business racket order requires final artwork approval, our full-refund-before-approval commitment in Section 3 applies, including deposits paid towards that order, unless a mandatory law provides more favourable rights. Following final approval, no voluntary change-of-mind cancellation, exchange, return or refund is offered on genuinely bespoke Business racket orders to the extent allowed by the agreed contract and applicable law, even if manufacturing has not yet started. Any goodwill exception is discretionary; statutory or contractual remedies for defects, incorrect manufacture, non-delivery or breach remain available.
Separate written terms may govern other commercial matters, but they will not override applicable mandatory rights or the express pre-approval refund commitment in this policy.
13. Your rights in different markets
We sell to customers in multiple markets and do not apply Dutch consumer law as a universal rule.
- UK consumers retain rights under applicable UK consumer legislation, including remedies for faulty or non-conforming goods and any qualifying distance-selling cancellation rights.
- EU consumers retain applicable rights under EU rules and the mandatory consumer protections of the relevant member state, including legal guarantees for non-conforming goods.
- UAE customers retain any protections applicable to the particular seller, transaction and delivery arrangement under relevant law.
- Pakistan customers retain any relevant rights under applicable federal or provincial consumer-protection law.
Nothing in this policy removes or restricts a mandatory right that applies to your purchase. If any provision conflicts with such a right, the mandatory right takes precedence.
